We are seeking a detail-oriented and highly organized Virtual Assistant to provide administrative and clerical support to our teams. This role will primarily involve assisting clients with various tasks, managing documents, scheduling appointments, and handling client communications. The ideal candidate will have excellent communication skills in both English and Spanish, and the ability to work efficiently in a remote environment.
**Key Responsibilities**
Administrative Support
* Provide administrative assistance, including drafting correspondence, transcribing dictations, and preparing documents.
* Manage calendars, schedule appointments, and coordinate meetings and conference calls.
* Organize and maintain electronic files, ensuring all documents are accurately labeled and easily accessible
Client Communication
* Serve as the primary point of contact for client inquiries, providing timely and professional responses via email and phone in both English and Spanish.
* Assist with client intake procedures, gather necessary information, and maintain client databases.
* Coordinate client meetings and assist with the preparation of meeting materials.
Document Management
* Assist with drafting and editing documents, including contracts, briefs, pleadings, and memos.
* Proofread documents for accuracy, grammar, and formatting.
* File documents with agencies, and other relevant entities, adhering to applicable deadlines and procedures.
General Support
* Assist with billing and invoicing processes, track billable hours, and prepare expense reports as needed.
* Collaborate with team members on special projects and initiatives to support the overall objectives of the firm.
**Requirements:**
* Must be able to fluently speak, read and write in both English and Spanish
* Proven experience working as an assistant, secretary, or Virtual Assistant
* Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and software applications
* Ability to prioritize tasks, manage multiple deadlines, and work efficiently in a fast-paced environment.
* Discretion and confidentiality when handling sensitive information and client matters.
* Flexibility to adapt to changing priorities and willingness to take on new responsibilities as needed.
